Privacy Policy

1. Introduction

VentrQ (Pty) Ltd ("VentrQ", "we", "us", or "our") operates VentrQ Mail Manager. This Privacy Policy explains how we collect, use, and protect your personal information in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA) and, where applicable, the General Data Protection Regulation (GDPR).

2. Information We Collect

Account information: Name, email address, and password when you register.

Payment information: Payment card details are processed directly by Peach Payments. We do not store full card numbers on our servers.

Campaign & recipient data: Recipient lists (names, email addresses, and any optional fields such as company, designation, and gender) that you upload to the Service.

Usage data: Log files, IP addresses, browser type, and pages visited for security and service improvement purposes.

3. How We Use Your Information

• To deliver email campaigns on your behalf.
• To process payments for campaigns.
• To provide account management and customer support.
• To detect and prevent fraud or abuse.
• To comply with legal obligations.

We do not sell, rent, or share your personal information or your recipient data with third parties for their own marketing purposes.

4. Recipient Data

You are the responsible party (data controller) for the personal information of recipients in your campaign lists. You warrant that you have obtained the necessary consent from those recipients before uploading their data, and that your use of the Service complies with all applicable privacy laws.

5. Data Storage & Security

Data is stored on AWS infrastructure (eu-west-2 region). We implement industry-standard security measures including encryption in transit (TLS) and access controls. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

6. Data Retention

We retain your account data for as long as your account is active. Campaign data and logs are retained for a minimum of 12 months to support billing queries and compliance requirements. You may request deletion of your data by contacting us.

7. Your Rights

Subject to applicable law, you have the right to:

• Access the personal information we hold about you.
• Correct inaccurate or incomplete information.
• Request deletion of your personal information.
• Object to or restrict certain processing activities.
• Lodge a complaint with the Information Regulator (South Africa) or your local data protection authority.

8. Third-Party Services

We use the following third-party services which have their own privacy policies:

• AWS SES — email delivery infrastructure.
• Peach Payments — payment processing.
• AWS Amplify / CloudFront — hosting and CDN.

9. Cookies

The Service uses essential session cookies required for authentication. We do not use tracking or advertising cookies.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page with a revised date. Continued use of the Service constitutes acceptance of the updated policy.
